Step-by-Step DataFlow Process

Follow these 10 steps in order. Each step builds on the previous — rushing ahead without completing an earlier step will delay your application.

Create your DataFlow account
Go to dataflowgroup.com (or the country-specific portal your target authority uses). Create an individual applicant account using your email address. Keep your login credentials safe — you will use this dashboard throughout the process.

Select the target GCC health authority
Inside the DataFlow portal, choose the specific GCC health authority you are applying to (e.g., DHA, SCFHS/Mumaris+, QCHP). Each authority has a tailored application form. If you are applying to multiple countries, you will need separate applications for each.

Fill in your personal information
Enter your full name, date of birth, nationality and contact details. Every detail must match your passport exactly — including spelling, middle names, and name order. Any discrepancy between your profile and your documents will trigger a delay and may require an affidavit.

Upload all required documents

Pay the verification fee online
Pay the DataFlow verification fee by credit or debit card. Fees vary by destination authority but are typically $300–$500 USD. Payment activates your application and triggers the verification process. Keep your payment receipt — some employers require it for reimbursement.

DataFlow contacts your institutions directly
DataFlow sends formal verification requests to your university registrar, national nursing board, and each employer listed on your application. They contact institutions directly — you do not control this step. Institutions receive a request by email or post and are asked to confirm your credentials.

Track your progress via the online dashboard
Log in to your DataFlow account regularly to monitor the status of each credential. You will see individual items move from "Pending" → "In Progress" → "Verified" or "Discrepancy Found". Institutions respond to DataFlow (often the slowest step)
This is frequently the longest stage. Response times vary dramatically: universities in the Philippines typically respond within 2–4 weeks; Indian universities can take 6–10 weeks; some smaller institutions or those with outdated records may take longer. If an institution has not responded after 3 weeks, follow up with them directly and inform DataFlow support.

Once all credentials have been verified (or officially noted as unverifiable), DataFlow generates your Primary Source Verification (PSV) Report. This is a formal document listing each credential and its verification status. The report is valid for 2 years for most GCC authorities. Download and keep a copy securely.

Submit PSV report to the GCC health authority
Upload or submit your PSV Report through the relevant GCC health authority portal as part of your nursing licence application. For DHA/DOH this is the Emirates Health Portal; for Saudi it is Mumaris+; for Qatar it is the QCHP portal. Some authorities receive the report directly from DataFlow if both portals are integrated — confirm with your target authority.

What to Upload to DataFlow

Documents are organised into four groups. Have everything ready before starting your application — incomplete uploads delay the entire process.

  • Nursing degree certificate (original + clear copy) — Bachelor of Science in Nursing (BSN), Associate Degree in Nursing, or equivalent. Must show your full name, degree title, and date of conferral.
  • Official transcripts sealed by your university — Must list all subjects studied and grades. Unsealed or student copies are not accepted. Some authorities require an original sealed copy sent directly from the university to DataFlow.
  • Internship / clinical placement certificate — Issued by your hospital or teaching institution confirming completion of your clinical hours. Specify the period, institution, and supervising authority.
  • Diploma (if diploma nurse) — If you hold a diploma rather than a degree, submit the diploma certificate. Also include any bridging course certificates that upgraded your qualification, with transcripts.
  • Post-graduate certificates — If claiming a specialisation (ICU, OR, NICU etc.), include the relevant specialty certificate and any relevant training records.
  • Current nursing licence / registration certificate — Must be valid and clearly show your licence number, issuing body, and expiry date. Include both sides if relevant information appears on the reverse.
  • Past nursing licences (if applicable) — If you have held licences in multiple countries, include all of them. DataFlow may contact each issuing board to confirm good standing during that period.
  • Good standing certificate from your nursing regulatory body — A formal letter (usually dated within 3–6 months) confirming you have no disciplinary actions, complaints, or restrictions on your registration.
  • Certificate of current professional status — Some boards issue this separately from the good standing letter. It confirms your current registration status and any conditions on practice.
  • NCLEX or equivalent examination result — If you passed a licensure exam, include the result certificate. Required by most GCC authorities as proof of professional competency.

You must document your entire nursing career history. Gaps of more than 3 months will need explanation. Prepare the following for each employer:

  • Employment verification letter on hospital / facility letterhead — Signed by HR or the department head. Must state your full name, job title (RN, Staff Nurse, etc.), department, and exact dates of employment (start and end date).
  • Reference letter from your direct supervisor — Personal reference attesting to your clinical competence, conduct, and responsibilities. The supervisor's name, designation, and contact details must be included.
  • Exit certificate / service letter with exact dates — Formally confirming your last working day. This is especially important for overseas employers where dates can be misrecorded.
  • For employment gaps: statutory declaration — A sworn/notarised statement explaining the gap (maternity leave, study, illness, travel, etc.). Must be signed before a notary public or commissioner of oaths.
If your employer has closed down or merged:

Obtain a letter from the successor entity or health ministry. If no successor exists, a statutory declaration with evidence of the closure (news article, official notice) is usually accepted. Contact DataFlow support to confirm requirements for your specific situation.

  • Valid passport — bio data page — Clear scan showing your photo, full name, nationality, passport number, and expiry date. Your passport must be valid for the entire processing period. This is the master identity document; all names on all other documents must match this exactly.
  • Name change documents (if applicable) — If your name on your degree, licence, or employment documents differs from your current passport (e.g. due to marriage), include your marriage certificate, deed poll, or official name change document. These must be attested/notarised.
  • Affidavit of one and the same person — A notarised statement confirming that different name variations across your documents all refer to you. Required whenever there is any discrepancy in spelling, name order, or added/removed names between documents.
  • National ID card (some authorities) — Some GCC authorities require a copy of your home-country national identity card in addition to your passport.

  7. Receive your DHA licence. Dubai licences must be renewed annually via the same portal.
Key note: DHA licences are valid only in Dubai. If you wish to work in other emirates, you need a separate DOH or MOH licence. DataFlow PSV reports can be reused across UAE authorities (confirm with each authority at time of application).

  5. Once PSV is complete (typically 8–14 weeks), SCFHS will evaluate your eligibility for the Prometric exam. Passing the exam is mandatory for licensure in Saudi Arabia.
  6. Schedule and sit the Prometric exam at an authorised centre. Passing score requirements vary by nursing classification.
  7. Upon passing the exam and satisfying all SCFHS requirements, your Saudi nursing licence (Iqama-linked) is issued.
Key note: Saudi Arabia has an additional Prometric exam requirement — PSV alone is not sufficient for licensure. The classification system (General/Specialist/Advanced) significantly affects salary and role eligibility, so apply at the highest appropriate level with supporting documentation. Saudi licences are valid for 2 years and must be renewed via Mumaris+.

Key note: Oman often requires additional embassy attestation steps that other GCC countries do not. Confirm the current attestation requirements with your Omani employer before starting the process — skipping attestation can invalidate your documents and require resubmission. Common Delays and How to Fix Them

These six situations cause the majority of DataFlow delays. Most are solvable — the key is catching them early.

Some universities have changed names, merged, or permanently closed — especially older institutions. Fix: Prepare an official statutory declaration (notarised) and contact the Ministry of Education or equivalent in your home country for an official letter confirming the institution's status. DataFlow has a specific process for defunct institutions — contact their support team with evidence and they will advise on alternate verification pathways.

Name mismatch between documents
Your degree might show a maiden name, your passport a married name, or a middle name may be missing from one document. Fix: Prepare a notarised Affidavit of One and the Same Person confirming that all name variations refer to you. Also submit the official name change document (marriage certificate, deed poll, court order) attested by a notary. This is one of the most common issues — address it proactively before submitting.

DataFlow compares the dates you entered with what the employer confirms. A discrepancy of even a few days can flag as a "Discrepancy Found" result. Nursing licence expired before verification completes
Ideally your licence should be current throughout the process, but this is not always possible. Fix: A Good Standing Certificate from your nursing regulatory body confirming you held a valid licence in good standing during a specified period is acceptable to most GCC authorities in place of a current licence. Additionally, request a letter of current professional status from your nursing board explaining the expiry. Renew your licence if at all possible.
Processing taking unusually long (12+ weeks)
If your application has stalled beyond 12 weeks with no update, take action. Fix: (1) Contact DataFlow directly via their support ticket system and request a status update — reference your application number. (2) Contact the slow institution yourself and ask them to respond to DataFlow's request. (3) Some GCC authorities (notably DHA and DOH) will issue a provisional licence allowing you to commence work while your PSV is pending — enquire with your target authority and employer.

Answers to the questions nurses most commonly ask about the DataFlow process.

Generally, no — each GCC authority requires a separate DataFlow application with a separate fee. This is because each authority has a specific application form and the verification report is tailored to their requirements. However, once a PSV report has been issued for one authority, you may be able to request that DataFlow shares the verified data with a second authority at a reduced "transfer fee" rather than re-verifying from scratch. Confirm this with DataFlow support and with your target authority before paying a full second fee.

Practically, many nurses start their DataFlow application for their primary target country and only initiate a second application if they receive a job offer from a different country. This avoids paying multiple full fees simultaneously.

This situation is more common than you might think — many nursing schools have merged, been absorbed into larger universities, or closed entirely. DataFlow has a specific process for this:

1. First, contact the Ministry of Education (or equivalent) in your home country and request an official letter confirming the institution's closure or merger and confirming that your records have been transferred to a successor body.

2. Prepare a notarised statutory declaration confirming the circumstances under which your degree was awarded and the institutional change.

3. If a successor institution holds your records, DataFlow will contact them instead. If records no longer exist anywhere, DataFlow will issue a "Unable to Verify — Institution Non-Existent" status, which you must then explain to the GCC authority with supporting documentation. Most authorities handle this case-by-case — contact them directly with your evidence.

If a hospital or clinic you worked for has closed, was sold, or was restructured, employment verification becomes complex. Follow these steps:

1. Check if the facility was acquired — if so, the new owner's HR department may hold historical employment records and can issue a verification letter.

2. Contact the relevant health authority or medical licensing body in the country where you worked. In many countries, they maintain records of healthcare facility employment even after closure.

3. Collect any documentary evidence you have: old payslips, ID badges, employment contracts, reference letters from supervisors (who may now work elsewhere), or tax records showing employment income from that period.

4. Prepare a detailed notarised statutory declaration explaining the employment and the circumstances preventing verification. Submit this with all supporting evidence to DataFlow. Most GCC authorities handle these situations on a case-by-case basis.

Yes — and this is strongly recommended. The DataFlow PSV process is independent of your employment status. You do not need a job offer or a specific employer to initiate DataFlow verification. Since the process takes 6–14 weeks, starting early means your PSV report will be ready (or nearly ready) by the time you receive and accept a job offer — dramatically reducing your overall timeline from offer to starting work.

When initiating DataFlow without a job offer, you will still need to select a target GCC authority. You can select the country you are most likely to move to based on your job search. The DataFlow report can sometimes be transferred to a different authority's application at a reduced fee if your plans change.

Many experienced GCC nurses start DataFlow at the same time as preparing their CV and documents — treating it as part of the pre-application package.

DataFlow Group's refund policy depends on the stage at which you cancel:

Before verification starts: A partial refund is usually possible, minus an administrative fee. Contact DataFlow support immediately with your application number and refund request.

After verification has started (institutions contacted): Refunds become very limited or unavailable, as DataFlow has already incurred costs contacting your institutions.

After PSV report issued: No refund is available.

Process times for refunds are typically 15–30 business days. If your employer or agency paid on your behalf, direct the refund request accordingly.
